Assistant Property Manager - Legacy West

Reporting to both the Office Property Manager and Retail Property Manager, the Assistant Property Manager will manage the daily activities of both the office and retail components of the project known as Legacy West, which is comprised of 334,310 SF of office and 318,838 SF of retail.

The candidate for this position is a fiduciary of the property owner, to whom the owner’s financial and material assets are entrusted, and who manages those assets in good faith, with loyalty and prudence. 


  • The ideal candidate will have strong analytical skills (CAM Reconciliations, variance reporting, forecasting, budgeting, monthly reporting, etc.), excellent tenant relations and work well in a collaborative environment.

  • Assist the Property Managers in supervising on-site staff.

  • Work with the Property Managers to resolve property management issues.

  • Work closely with and supervise Vendors to ensure compliance with service contracts.

  • Recommend and/or authorize vendor contracts as appropriate

  • Assist the Property Managers with the preparation of operating and capital budgets as well as operating expense reconciliations.

  • Assemble, review and assist the Property Managers in the implementation of the approved operating and capital budgets.

  • Assist the Property Managers as appropriate in coordinating insurance procurement, electricity procurement and real estate tax review processes for properties.

  • Conduct routine property inspections to prevent/identify problems and exposures.

  • Ensure adherence to owners’ policies and procedures, as well as compliance with codes, regulations and governmental agency directives.

  • Assure optimal functioning of building life safety and security systems.

  • Follow established AR/AP guidelines including contacting tenants to follow-up on payment status and assisting Property Managers in lockouts as necessary.

  • Reviewing and ensuring accuracy of accounts payables.

  • Answer telephone as required.

  • Receive work order requests and coordinate with the building technician or vendor as appropriate.

  • Schedule building activity including move-ins/move-outs and verify insurance.

  • Collaborates with Property Managers to maintain personal contact with owners.

  • Assist Property Managers in the preparation of monthly reports according to owner's needs.

  • Ensure compliance with management agreements. Work with the Property Managers to facilitate property management, accounting, marketing and construction needs.

  • Desire to continually elevate quality of work, as well as aspires to make decisions and manage functions with a degree of proficiency ordinarily associated with higher-ranking positions.

  • Demands of the job may sometimes require overtime and deviations from normal working hours.

  • Promote and advance high tenant morale and tenant loyalty by delivering an outstanding tenant experience.

  • Will take on additional tasks to support the Property Managers as required.

  • Demonstrates a strong real estate financial acumen.


  • Bachelor’s degree with desire to pursue CPM/CCIM/RPA designation preferred.

  • Kardin and Yardi experience is desired.

  • Must have experience in administration and management of resources.

  • At least 3-5 years’ experience in both office and retail property management is preferred.

  • Proficiency in computer applications is required, especially Microsoft Office.

  • Experience in property management software is advantageous.

  • Must be capable of obtaining a real estate license if required by law.

  • Familiar with LEED/Energy Star reporting preferred.
